What to Do When Your HR Manager Resigns

A continuity framework for business owners facing an HR departure.

The short answer

After an HR employee leaves, identify the work and access they owned, assign immediate decision-makers, and secure an orderly handoff. Filling the vacancy matters, but the first question is which employee processes and deadlines need continuity now.

Inventory the work before defining coverage

Ask leadership and the departing employee, when available, about recurring tasks, upcoming deadlines, vendor contacts, records locations, pending approvals, and open projects. Use organization-managed access and approved transfer procedures. Do not share passwords informally or copy personnel files to personal storage.

WorkstreamContinuity question
Payroll and benefits coordinationWho is authorized to communicate changes and approve the next cycle?
Employee requestsWho receives new concerns, and where are sensitive matters escalated?
Hiring and onboardingWhich candidates and start dates need a named owner?
Records and systemsWhich accounts, permissions, documents, and vendor contacts must be transferred?
Projects and deadlinesWhich commitments are time-sensitive, and who can reprioritize them?

Choose coverage that matches the gap

If routine transactions are the main issue, scoped administrative support may fit. If leaders need experienced judgment, interim advisory or fractional support may be more appropriate. A full-time temporary role is a different requirement and may need a staffing provider.

Illustrative example: an office manager can coordinate new-hire documents, while an executive approves employment actions and an interim consultant supports process questions. That arrangement only works when the boundary and escalation route are explicit.

Leave the successor a usable handoff

The handoff should identify recurring work, record locations, system owners, approval authority, open items, and the next review date. Validate the process with the person receiving it. A list of files is not enough if the successor cannot explain what happens next.

Consulting availability, coverage hours, employee contact, onsite work, and urgency should be confirmed in writing. Do not assume that a consultant’s start date or capacity matches the former employee’s schedule.
